SharePoint Enhancement – Tenancy Set up at user level

Objective:

Enable SharePoint integration for Employee-role users by introducing user-level tenancy setup, removing previous role-based restrictions while maintaining controlled access.

Overview

As part of the SharePoint integration enhancement, tenancy configuration is now enabled at the user level, providing more flexibility in how integrations are managed.

Previously, users who were assigned only the Employee role were restricted from performing SharePoint integration activities. This limitation prevented employees from configuring or initiating integrations, even when such access was operationally required.

With the latest enhancement, this restriction has been removed. Users with only the Employee role are now allowed to perform SharePoint integration, provided the required tenancy setup is completed at the user level. This change enables broader participation in SharePoint integrations while maintaining controlled access through user-specific configuration.

Pre-requisites

  1. An active Office 365 Account

User should have an active Microsoft Office 365 Account. If user does not have an active account, the user can create one at: https://signup.live.com/signuparrow-up-right

  1. At least one App Registration

Open your Azure account. If user does not have any App Registration, it can be created by: Follow this document to create an active O365 Account.

Setup connection to Office 365 SharePoint in User Level

  1. Login to the iX Hello portal at https://bots.ixhello.com/arrow-up-right

  2. Open Studio Mode by pressing the link at the top of the page.​

  3. To Configure Lex, browse to: Integration > Connect System and press Add New Connection.

Select Microsoft Office365 SharePoint from the dropdown and press Next.

Once you click Next, you will be redirected to the Microsoft Office365 Instance Configuration page:

Fill the required information and click on Save Settings. If the details are correct, the integration will be saved, and you will be redirected back to the integrations listing page.

Click on Add New Connection and fill out following details. Select the System Type depending upon the MicrosoftOffice365 service you are trying to connect. For example, if you are trying to connect to SharePoint, select Microsoft Office365 SharePoint.

Read the instructions and Click on Connect to Office365.

You will be redirected to the Microsoft login screen. Enter your Microsoft Office 365 login credentials.

Microsoft Office 365 will confirm your acceptance to allow iX Hello connect to your Microsoft Office 365 Platform. Click “Allow”.

You will be redirected to the iX Hello integration confirmation page

You have successfully configured iX Hello integration to Microsoft Office 365. You can now proceed to create a new custom app or use an existing custom app.

Let's explore how users level can leverage the SharePoint integration feature, enabling them to browse and select files from SharePoint folders and upload them directly for bot training purposes.

Select the required app to be edited and click on “AI Contents” tab:

Click on "Add New AI Content" to add new files,

Click on “SharePoint Tab” and select the SharePoint site (already configured earlier):

Select the folders/documents for the bot to be trained on:

Click on “Process”:

Click on “Check Status” to confirm completion of file addition. “Close” pop up on completion.
